Privacy Policy for the Quick-Desk Mobile Application

Introduction
This Privacy Policy describes how Radio Line sp. z o.o. ("we", "our", "company") collects, uses, and protects personal data when you use the "Quick-Desk" mobile application (the "Application"). The Application is used internally by employees for HR-related purposes, including leave management, time tracking, location tracking, timesheet approval, and employee documentation management.

  1. Data collection
    To provide the Application services, Quick-Desk collects specific data and requires access to:
    • Phone storage: local storage of application data before secure synchronization with the company server (e.g. time records, employee documents, work-related files).
    • Network connection: uploading/downloading data to and from the secure company server.
    • User location (GPS): collecting location data for attendance verification and time tracking, especially for field work.
    • Camera: capturing work-related photos for HR processes and operational documentation.
  2. Use of data
    Personal data is used only for:
    • HR management (leave requests, time tracking, timesheet verification),
    • location-based attendance and time record verification,
    • employee and work-related documentation management.
  3. Data storage and security
    All data collected by the Application is stored on a secure company server. We apply appropriate technical and organizational safeguards, including encrypted transmission and access controls. Access is limited to authorized personnel only.
  4. User consent
    By using Quick-Desk, the user consents to the collection, processing, and storage of personal data under this policy, including access to storage, network connection, location, and camera features. If the user does not agree with these terms, they should not use the Application.
  5. Data sharing
    We do not share personal data with third parties except:
    • service providers supporting technical operation (hosting, maintenance, support), strictly to the necessary extent,
    • legal obligations (e.g. court order or statutory requirement).
  6. Data retention
    Personal data is retained for as long as necessary to fulfill the Application purposes and legal/contractual obligations. When data is no longer needed (e.g. after end of employment), it is securely deleted or anonymized under internal retention rules.
  7. User rights

  8. Changes to this policy
    We may update this policy from time to time. Material changes are communicated by updating the effective date. Continued use of the Application after updates means acceptance of the revised policy.
